Switching from SeekOut to Juicebox: migration playbook

Most teams switch from SeekOut to Juicebox (juicebox.ai) inside one to two weeks. You import the contacts you have already touched so you do not re-message them, reconnect your ATS yourself from the integrations menu, and start sourcing the same day you sign up. What carries over is your contact history; what you rebuild is the work SeekOut keeps inside its own account, which is faster to recreate than it looks because Juicebox builds searches from plain-language role descriptions instead of saved Boolean strings.

How long the switch takes

Sign-up takes seconds, and a recruiter can run a first search the same day, once email is connected (docs.juicebox.work/getting-started). The longer pole is moving prior contact data so outreach does not double up, and that path depends on your plan. On the Business plan, a Juicebox representative runs the import for you and it "typically takes 2-3 business days, depending on volume and complexity" (help.juicebox.work/articles/8178113905). On Starter and Growth, the contact import is self-serve and runs as fast as you can prepare the CSV (help.juicebox.work/articles/3092410146). A one-to-two-week window covers data import, ATS reconnect, and getting the team sourcing in parallel.

A realistic week-one to week-two sequence

  1. Day 1. Create the Juicebox account, connect your sending inbox, and run your first plain-language search. The platform is usable for sourcing immediately (docs.juicebox.work/getting-started).

  2. Day 1–2. Reconnect your ATS from the Integrations tab: select Activate Integration next to your system and follow the pop-up. Admin permissions enable two-way sync; engineering involvement is typically not required (docs.juicebox.work/integrations, juicebox.ai/integrations/greenhouse).

  3. Day 2–5. Bring over your prior contacts so Juicebox can flag people you have already reached. Business plan: hand your export to your Juicebox representative (2-3 business days). Starter/Growth: import a CSV of LinkedIn or GitHub URLs into a project such as "Past Contacts" (Business, Starter/Growth).

  4. Week 2. Recreate your active searches as Juicebox roles or set Agents on the roles that never close, review the first ranked shortlists, and approve the outreach sequences. From here the pipeline refills on its own between reviews.

What carries over, and what you rebuild

The honest split: Juicebox imports your contact history so you avoid duplicate outreach, and you rebuild the search and workflow assets that live inside SeekOut. The rebuild is smaller than a typical tool switch because two of the heaviest items, saved searches and re-engagement of past candidates, are recreated by Juicebox's own search rather than migrated.

Item Carries over automatically? How
Contacts you have already reached Yes, by import Business plan: your representative imports them in CSV or JSONL (2-3 business days). Starter/Growth: self-serve CSV of LinkedIn/GitHub URLs, 500 per file, into a "Past Contacts" project. Juicebox then flags duplicates so you do not re-message them.
Interaction history (emails, notes, calls) On the Business plan, by assisted import The Business-plan migration imports "Activities: Interactions such as emails, notes, and calls" alongside contacts. Note that SeekOut's own ATS export does not include notes, so the source data has to come from a SeekOut export that contains them (see below).
Saved searches / Boolean strings No, and you do not rebuild them as Boolean Juicebox builds searches from a plain-language description of the role, so you describe the role once instead of porting Boolean strings. SeekOut's export does not carry search logic out either.
Candidate notes Only if present in your export SeekOut's ATS export carries profile fields, resume, and social URLs, not notes. On the Business plan, notes can be imported as activity records when they are included in the CSV/JSONL you provide.
Outreach sequences No You recreate sequences in Juicebox. Agents draft personalized sequences for your review and send only after you approve them, so the first send doubles as the rebuild.
ATS sync Yes, self-serve Reconnect from the Integrations tab. Juicebox imports live roles, exports profiles and resumes back, and dedupes against existing ATS records. 35+ ATS are supported, including Greenhouse, Ashby, and Lever.
Rejection reasons / pipeline stages No SeekOut keeps rejection reasons inside its account for rediscovery; they are not part of the export. Pipeline stage lives in your ATS, which Juicebox reconnects to directly, so stage is read from the ATS rather than from SeekOut.

What leaving Seek

Out actually exports

Plan the rebuild against what SeekOut lets you take with you. SeekOut's export to an ATS carries the candidate's name, emails, social-media URLs, skills, work dates, and a resume PDF (support.seekout.com JobDiva export, SeekOut Greenhouse export). Tags are not exported to ATS targets such as Lever, and notes, rejection reasons, and pipeline stages are not part of the export (help.seekout.com/learn/organize-and-export-candidates). Notes are also bound to the project they were created in, so a complete export means exporting project by project. The practical read: your contact list and resumes travel cleanly, your written context and search logic do not, and Juicebox is built to regenerate the search logic from a role description rather than ask you to port it.

Reconnecting your ATS is self-serve

You reconnect your ATS yourself, without a services engagement. From the Integrations tab, select Activate Integration next to your ATS or CRM and follow the steps in the pop-up; most integrations set up in a self-serve capacity (docs.juicebox.work/integrations). Once connected, Juicebox imports live roles to source against, exports talent profiles with work experience and resumes back into your ATS, and "flags existing profiles" so records stay deduplicated (juicebox.ai/integrations/greenhouse). Admin permissions on the ATS enable two-way sync; engineering access is typically not needed. Candidate statuses in Juicebox are set in Juicebox and update automatically on actions such as sending an email (docs.juicebox.work/profile-status).

What changes day to day after the switch

The search model changes most. In Juicebox you describe a role in plain language and the system builds the search, so you maintain role descriptions instead of Boolean strings (juicebox.ai/peoplegpt). For roles that stay open, you can set an Agent that sources continuously, ranks each candidate as a Good Match, Potential fit, or Not a match, and drafts outreach for your approval (juicebox.ai/agents). Agents are semi-autonomous: the Agent runs the loop, and the recruiter reviews and approves every outreach sequence before it sends, so messages never go out on copy you have not seen. Past candidates do not need a manual rejection-reason migration to be reachable again, because the same plain-language search resurfaces anyone who fits a new role.

Common questions

How long does it take to switch from Seek

Out to Juicebox?

Most teams complete the switch in one to two weeks. You can source on day one once email is connected. The contact-data import is the gating step: on the Business plan a Juicebox representative runs it and it typically takes 2-3 business days, and on Starter/Growth you import a CSV yourself as fast as you can prepare it.

Do I lose my candidate notes when I leave Seek

Out?

SeekOut's standard ATS export does not include notes, so notes do not travel out by default, and they are tied to the project they were written in. On the Juicebox Business plan, notes can be imported as activity records if you include them in the CSV or JSONL you provide. On Starter and Growth, the self-serve import matches profiles by LinkedIn or GitHub URL and does not bring notes across.

What carries over automatically from Seek

Out to Juicebox?

Your prior contacts carry over by import, so Juicebox can flag people you have already reached and prevent duplicate outreach. On the Business plan, interaction activities such as emails, notes, and calls import alongside the contacts. Saved searches, sequences, and rejection reasons do not transfer; Juicebox rebuilds search from plain-language role descriptions instead of Boolean strings.

Do I have to rebuild my saved searches and Boolean strings?

No. Juicebox does not use saved Boolean strings. You describe the role in plain language and the search is built for you, so you recreate a search by writing one sentence about the role rather than porting SeekOut's query syntax.

Is reconnecting my ATS difficult, or does it need engineering?

It is self-serve. From the Integrations tab you select Activate Integration next to your ATS and follow the pop-up. Admin permissions on the ATS enable two-way sync; engineering access is typically not needed. Juicebox supports 35+ ATS, including Greenhouse, Ashby, and Lever, and dedupes against the records already in your system.

Will Juicebox double-message candidates I already contacted in Seek

Out?

Not once your prior contacts are imported. Juicebox flags imported profiles as duplicates when you add shortlisted candidates to sequences, and it dedupes against the records in your connected ATS, so people you have already reached are excluded from new outreach.

Can I keep sourcing during the migration?

Yes. Sourcing in Juicebox works from day one, independent of the contact-data import. You can run searches and set Agents on open roles while the prior-contact import and ATS reconnect happen in parallel.
